Executive Director, Greater Easthampton Chamber of Commerce
Purpose: The Executive Director is the chief executive and administrative officer of the organization. The Executive Director ensures an appropriate vision for the organization, leads its activities and manages the resources to accomplish its goals.
Reports to: Chamber Board of Directors.
Summary: Responsible for overall operations and management, including daily office operations, membership development and retention, involvement in local and regional initiatives, press and media relations, coordination and management of fundraising events, and volunteer programs. Engages in strategic planning and troubleshooting, working in conjunction with the Board of Directors.
Examples of Duties
The duties for this position include, but are not limited to, the following.
Officer Responsibilities. Serves as clerk for the Board of Directors, including preparing agenda for meetings, recording Board minutes, keeping records, and carrying out plans and programs of the Board in accordance with established policies. Serves as member of Executive Committee of the Board, sharing in decision-making about all Chamber programs and operations.
Administrative Management. Manages Chamber’s administrative activities in conjunction with the Executive Committee, including Board nominations, budgets, and overall chamber operations. Interprets and communicates Chamber policies; develops and maintains organizational structure and office procedures.
Membership Development. Maintains active Chamber membership with the assistance of the Board, at a level that will ensure necessary income for the operation of Chamber programs; serves as the primary Chamber membership liaison with major employers and business leaders.
Membership activities include:
• Develops annual recruitment and retention strategies, under the direction of the Board.
• Builds a robust Membership Outreach Committee to recruit new members, and monitors and sets goals for visits to new business ventures in Greater Easthampton for potential new member opportunities; communicates with city clerks for dba lists; visits 5 non-member businesses monthly to promote the benefits of being a chamber member.
• Welcomes new members by holding orientations to assist them to participate in eligible Chamber programs that are available; visits 10 existing members per month to continue positive member relations.
• Identifies and responds to the ongoing needs of Chamber members.
• Develops and maintains the Chamber’s dues structure; reviews and recommends changes as necessary.
• Develops programming to increase member benefits and services.
• Promotes a positive image of the Chamber and develops long-range plans to increase membership.
Work Hub Operations. Manage and oversee the Work Hub on Union, including coordination of the work hub schedule for members, marketing, managing all operational needs of Work Hub, and working to ensure the Work Hub is always thriving and providing the connection of the Chamber to the community, along with educational opportunities for members and assisting members in making connections.
Financial Management. Works with Executive Committee to develop annual budgets and sales goals, as related to program goals. Monitors the Chamber’s financial condition on a daily and monthly basis and ensures that all expenditures are within the framework of the budget.
Financial management activities include:
• Reviews and analyzes monthly financial statements of income and expenses with Treasurer.
• Develops and implements strategies to ensure program and operations income and expenses meet budgeted projections.
• Works with the treasurer to maintain financial records and procedures.
• Networks with area resources and foundations to explore grant-writing opportunities and donation sources.
Long-Range Planning. Identifies Chamber and community needs; develops the organization’s annual work plan in conjunction with the Board and, through the proper committee, manages the implementation of Chamber programs and activities; reviews and analyzes progress toward attainment of program objectives and goals; maintains continuity and consistency in operations and annual objectives and goals, in conjunction with strategic plan.
Staff and Volunteer Supervision. Recruits and hires all staff personnel; establishes terms of employment within budget framework, assigns their duties, oversees their work, conducts formal evaluations and takes disciplinary measures when needed, including termination; recruits and oversees volunteers to carry out activities and events of the Chamber.
Facilities Management. Oversees location, design and maintenance of the Chamber’s headquarters and ensures efficient operation; directs policies and operations of the Chamber’s Office within the Work Hub on Union; maintains the physical appearance of facility in a professional manner.
Communications, Marketing and PR. Markets the Chamber to the community and to its membership. Oversees all formal communications with the community, media and the membership about Chamber functions, activities and programs; serves as the primary spokesperson for the Chamber and assists the Board in the preparation for any comment on public issues; uses social media to communicate to members and public, in conjunction with Chamber marketing committee; attends community events as the Chamber representative as appropriate; attends Chamber-sponsored events as the schedule demands.
Community Liaison. Maintains personal contacts with community leaders to stay informed about business and civic matters; relates Chamber activities to the activities of other groups in the improvement of the commercial, industrial and civic life of the community and region; represents the Chamber in meetings of local, state and national organizations; serves on regional committees and boards.

Knowledge of computer and social media skills, including MS Office Suite, Quickbooks, Constant Contact, Facebook, Instagram, YouTube, Twitter, and LinkedIn.

Diligence in maintaining a keen understanding of the purpose, functions and positions of the organization.
